Flexible multiple office duties, accountability to the whole staff and working as a team member to keep an even flow of work through the office are required of all front desk staff. The front desk is where guests go for requests, advice and complaints. You must be able to communicate effectively and know the Beachmere policies, as well as be respectful and helpful. Reports to: 1. Front Desk Manager 2. General Manager Responsibilities: • Extend a warm and enthusiastic welcome to the guests arriving at the Inn. • Sell and process walk-in reservations • Answer the telephones and make computerized reservations with competent knowledge of Beachmere rooms, buildings, and grounds. • Answer e-mail reservation requests • Process guests checking in as well as checking out. Assist guests with early checkout payments. • Satisfactorily resolve guest problems and concerns. • Provide the best possible customer service at all times, taking into account the best interests of the guests and the Beachmere. • Reconcile cash, checks and credit cards processed during business day, complete reports and close out cash draw at end of shift • Provide concierge services such as describing Ogunquit and services & facilities available. • Effectively use the multi-line phone system. • Assist guests with their needs (providing supplies, answering questions, giving directions, suggesting restaurants, making reservations). • Perform various clerical duties such as filing registration cards, typing, assembling brochures, assisting with upkeep of mailing lists, and any other duties that may be assigned. • Troubleshoot problems when they arise such as flipping circuit breakers, turning heat up or down, or calling the proper staff person for assistance. • Check priorities when coming on duty. REQUIRED SKILLS: 1. Multi-tasking capabilities: Typing – computer aptitude is a must as our reservation system is automated. 2. Excellent oral and written communication skills. 3. Demonstration of common sense in problem solving 4. Ability to deal with frustrating situations in a positive manner. HOURS: 1. Require flexibility and includes nights and weekends.
